Team/Matter Task List

Since we've been on the topic of charts and systems to keep my head straight, let's do one more:

Sometimes I have files that are unwieldy--in complexity, team size, you name it.

For those, I use the below chart to track and manage deadlines and pending tasks.

It is a file-specific tool that I use to keep track of big ticket items.

Beyond those items listed here, I'll typically include:

✅ ongoing research and the associated deadline;

✅ draft deadlines--internal and when to send to client;

✅ all substantive case deadlines;

✅ timing of document productions;

✅ dates discovery issued/received and response deadlines;

✅ and more--whatever feels important.

Before team meetings, I update and circulate it--it is great as an agenda for calls.

After team meetings or on some regular cadence, I'll update and circulate it to make sure the group is on the same page and confirm what should be added or deleted.

Sometimes, I delete completed tasks. Other times I move them to a new page and have the same chart titled "completed tasks"--a good reminder of all the team has accomplished on a file.

You can also copy and paste it right into the email to the team, or even the client.

Even if no one else reads it, it shows ownership of the file and eases my anxiety--just one more safeguard to keep things on track and moving forward.
